We are seeking a highly organized and proactive New Business Coordinator to play a key role in strengthening and scaling our US growth function.
You will contribute directly to building a healthier, more predictable pipeline by:
Improving proposal turnaround times
Strengthening enterprise-level opportunity support
Expanding our presence across multiple sectors
Increasing coordination between US and UK teams
Building a scalable foundation for future growth
This role sits at the heart of our commercial engine — combining research, coordination, strategic thinking, and relationship-building.
Drafting, formatting, and assembling pursuit materials
Coordinating inputs from Creative, Production, PM, and Leadership
Managing deadlines to ensure polished, on-time submissions
Organizing case studies, visuals, and credentials for reuse
Supporting proposal development in InDesign (advantageous but not essential)
Maintaining accurate, real-time updates in HubSpot
Updating deal stages, contacts, and tasks
Ensuring pipeline hygiene and clean data
Pulling weekly summaries and dashboards
Scheduling meetings and managing logistics
Preparing client meeting materials and kickoff documentation
Tracking contracts and signatures
Supporting smooth handovers into Project Management and Design
Maintaining organized pursuit archives and internal documentation
Researching architects, developers, PMs, and sector leads
Tracking RFPs, planning approvals, and upcoming projects
Identifying priority markets and new opportunities
Gathering intelligence to support proactive outreach and positioning
Researching new sectors and potential projects across the USA
Building and nurturing a professional network via LinkedIn
Contacting prospective clients to establish rapport and arrange introductory meetings
Confidently handling client calls and early-stage conversations independently
Attending client meetings, networking events, and industry functions
Contributing to the studio’s overall commercial and growth strategy
You are:
Highly organized and proactive
Commercially aware and strategically minded
Confident communicating — both written and verbal
Comfortable speaking publicly and leading initial client calls
Collaborative, positive, and team-oriented
Curious about art, design, and the built environment
You have:
Experience in business development coordination, marketing, architecture, or design (helpful but not essential)
Familiarity with CRM systems such as HubSpot (or the ability to learn quickly)
Strong follow-through and attention to detail
The ability to connect with people across industries and disciplines
Knowledge of InDesign (advantageous but not required)
